Safeguarding Policy

1. Intro

1.1 Booksmart Tutors Ltd offers a tutoring and mentoring service which includes providing these services either face-to-face in a student’s home or online. 

1.2 At Booksmart Tutors safeguarding and the welfare of all children and young people is of paramount importance. Booksmart Tutors will undertake reference checks of all tutors and mentors which includes checking their suitability to work with children and young people.

1.3 Booksmart Tutors takes allegations of poor practice or abuse very seriously and will endeavour to responded to these swiftly and appropriately.

3. Safeguarding Training

3.1 Our Designated Safeguarding Lead receives safeguarding training every two years.

Tutors and mentors must report any safeguarding concerns as soon as they arise via email to support@booksmarttutors.co.uk FAO Leah Foroozan.

3.2 Our tutors and mentors who are teachers have had relevant safeguarding training within their schools and all tutors and mentors should inform Booksmart Tutors of the training they have received during the interview process.

3.3 Booksmart Tutors will provide all approved tutors and mentors with up-to-date safeguarding training online to ensure all tutors and mentors understand the child protection procedures prior to conducting sessions with Clients. 

4. DBS Checks 

All tutors and mentors who have provided Booksmart Tutors with an up-to-date enhanced DBS check will be indicated on the website.

5. Criminal Convictions and Cautions

5.1 Booksmart Tutors will not knowingly represent tutors or mentors with criminal convictions or cautions. 

5.2 All criminal convictions and cautions must be declared by registered tutors and mentors, including those that may have occurred after their registration with Booksmart Tutors.

5.3 Approved tutors and mentors have all signed a Contract for Services which confirms that they have no child protection violations of any kind and that all criminal convictions and cautions have been and will continue to be declared by them, including those that occur after they begin providing tutoring and mentoring services through Booksmart Tutors Ltd.

6. Responsibilities of Tutors and Mentors 

6.1 Tutors and mentors must complete training in safeguarding, good practice and child protection procedures available through the Booksmart Tutors website once they are approved. 

6.2 Tutors and mentors must treat all children and Clients sensitively and fairly without prejudice or any form of discrimination about a person’s race, ethnicity, culture, religion, age, gender, language, racial origin, religious belief and/or sexual identity.

6.3 Tutors must ensure all tutoring and mentoring sessions are conducted in a safe environment.

6.4 Tutors and mentors must work in partnership with the parents/legal guardians of children.

6.5 Tutors and mentors must ensure reasonable steps are taken to protect all children and young people from harm and respect their rights, wishes and feelings. 

6.6 There should be absolutely no physical contact between a tutor/mentor or student.

6.7 There must be no inappropriate communication between a tutor/mentor and a student. If a student makes improper comments, parents/legal guardians must be informed.

6.8 Tutors and mentors must ensure that the parents/legal guardians of students have given their consent to seek tutoring/mentoring services. Tutors and mentors should endeavour to speak to parents/legal guardians during the initial consultation before paid sessions commence. 

6.9 Tutors and mentors must report any safeguarding concerns or illegal activity immediately to Booksmart Tutors DSL.

6.10 If a student discloses sensitive/concerning information to a tutor or mentor they must report this to Booksmart Tutors DSL immediately, and in the case of a disclosure regarding illegal activity they should report it to the police also. Tutors and mentors should not promise any student confidentiality in their disclosures nor ask leading questions.

7. Responsibilities of Clients

7.1 Parents/legal guardians must treat, and ensure all children treat, tutors and mentors fairly without prejudice or any form of discrimination about a person’s race, ethnicity, culture, religion, age, gender, language, racial origin, religious belief and/or sexual identity.

7.2 Parents/legal guardians are responsible for the safety of their children and should supervise tutoring/mentoring sessions.

7.3 Parents/legal guardians must ensure tutoring and mentoring sessions are conducted in a safe environment.

7.4 Parents/legal guardians should supervise all online contact to ensure no inappropriate comments or communication occurs.

7.5 Parents/legal guardians are responsible for checking any claims made by tutors or mentors with whom they confirm a booking

7.6 Parents/legal guardians must work in partnership with the tutors and mentors for the benefit of children and ensure that tutors and mentors are treated respectfully by students. 

7.7 Should any concerns about a tutor or mentor arise, clients must report this to Booksmart Tutors immediately.

8. Provision of Online Sessions

8.1 All online sessions should be recorded and remain the property of Booksmart Tutors in order for Booksmart Tutors to review online sessions where a complaint or safeguarding breach has been reported.

8.2 Booksmart Tutors will allow access to UK law enforcement of any recording where a criminal offence may have occurred in relation to a specific session.

9. Compliance

9.1 All tutors, mentors and clients have a responsibility to familiarise themselves with Booksmart Tutors Safeguarding Policy.

9.2 Booksmart Tutors reserves the right to suspend a tutor, mentor or client from using the services in the event of a safeguarding breach until the incident has been fully investigated by the appropriate authority.

9.3 Any person reported and found abusing or causing harm to a child will be reported to police and banned from using any of the services Booksmart Tutors provides including use of the website.

9.4 Booksmart Tutors will ultimately make all decisions on action taken for all breaches of the Safeguarding Policy.

10. Review

Booksmart Tutors Safeguarding Policy and Procedures will be reviewed on a regular basis to ensure they satisfactorily meet safeguarding standards.
